Lower and Middle School Anchor Class Parents

Lower and Middle School Anchor Class Parents


Class parents act as a liaison between the parents and the school, work closely with teachers to organize class activities, keep parents informed of events and work with the Parents Association Board to support events.

Responsibilities:
  1. Attend an orientation meeting at the beginning of school (customarily held on the second Monday of September).
  2. Call or email new families to introduce yourself, explaining that you will be communicating regularly and informing them of class or school events. Some families may prefer to use an e-mail address that is different from that which is published in the Pike directory, and e-mail may not reach everyone; therefore it is important to confirm what form of communication each family prefers.
  3. Contact your Teacher at the beginning of the year to set up a communications procedure.
  4. Organize refreshments for class parties, such as Halloween. Consult the Teacher about food preferences (be aware of allergies in the class) and call parents to provide food, drinks and paper goods. Everyone should be given a turn, so keep a log.
  5. Contact parents to chaperone for field trips.
  6. Keep parents informed of meetings and upcoming events. It is helpful to make an e-mail distribution list for your class at the beginning of the school year to facilitate communication with parents.
  7. Collect pictures from teachers and parents throughout the year to be kept in an Archive box to be used for Graduation.
  8. Assist with Back to School Night.
  9. Lower and Middle School Class Parents host a coffee in the fall at their home, the home of another willing parent or in the multi-purpose room. Class Parents contribute refreshments for these events.
  10. Assist in some capacity with the following School/Parents Association events: Fall Supper, Halloween Party, Spaghetti Supper, Admissions Open House (required), All School Visiting Day, Book Fair, and the Spring Barbeque.
  11. Attend the Parents Association Annual Meeting, usually held on the third Tuesday in May at 7:00 p.m.
  12. Snow Day Procedure: The Head of School notifies the President of the Parents Association of delayed openings or school cancellations. The President then sets a telephone tree in motion of which all class parents are a part. The tree (with instructions) will be distributed at the Orientation Meeting in September.  

Specialist Class Parents assist art and music teachers with special projects including the concerts and the Art Show.

Upper School Homeroom Parents

Class parents act as a liaison between the parents and the school, work closely with teachers to organize class activities, keep parents informed of events and work with the Parents Association Board to support events.

Please note that in the Upper School, class parents may not be assigned to their child’s homeroom teacher. Whenever possible, Room Parents are matched with their child’s homeroom. However, when this is not possible room parents are reminded that most activities are group events that are for the benefit of the entire grade or division.

How are class parents selected?

The names of the volunteers for each grade are given to the division heads and selections are made based on children’s classroom assignments.  If you are not selected for the current year, please be sure to contact the president of the Parents Association so that you will receive preference for the following year.

What are the primary class parent responsibilities?

Class parents serve as a liaison between teachers and parents.  They help to coordinate class parties and curriculum events requiring parent involvement. Class Parents also host “class coffees” so parents can get together at the beginning of year to get reacquainted and meet any new families.  Lower and Middle School class parents need to be present in their classrooms at the Admissions Open House in November.  Upper School class parents need to be available for “hallway duty” during the Open House.

What are the Class Coffees?

Typically, each grade has a “get together” either morning or evening, for the parents in the grade to connect and get to know each other better.  As a class parent, you host these coffees. To do this, you will need to coordinate with the other class parents of your grade. There are many options such as morning coffee at the school in the multipurpose room, an evening event at school held in the multipurpose room or arts hallway; a morning or evening event at someone’s home.

If you host a coffee in the morning, you will get parents who come after drop off. In the evening, you are more likely to get both parents. Teachers and division heads may drop by to coffees in the morning at school.

Coffees do not have to be elaborate. Coffee and breakfast pastries, beverages and hors d’oeurves or desserts are options. The Parents Association does not reimburse for class coffees.

Should I get email addresses of parents in my class?

Email is an effective way of communication, and it is helpful to set up an e-mail distribution list for your class at the beginning of the year. Class Parents are sometimes called upon to forward messages (program announcements and reminders, date or venue changes, etc.) to their classes. Prior to setting up a distribution list, please confirm preferred e-mail addresses with families at the beginning of the year—some may wish to use an address other than what is published in the Pike directory.

Am I responsible for scheduling library volunteers and field trip volunteers?

Yes.  A library sign up sheet will be circulated at Back to School Night.  Some parents may take the opportunity to sign up at this time. Other parents may miss the sign up and should be given the opportunity to sign up via email. In order to ensure inclusiveness, please do not schedule any parent twice before you are absolutely sure that everyone has had a chance to volunteer. Field trips should be treated in the same manner.  No parent should be able to volunteer for a field trip twice, until all parents have had an opportunity to volunteer.

Are there photo boxes / albums for pictures taken at events / field trips?

Photo boxes are located with Linda Holden/Roz Winnie at the front desk.

Can we collect for teacher gifts?

The status of end of year gifts and winter break gifts for LS/MS is as follows:
 
No money many be solicited from parents.  The gift should be something handmade from the children.  A card, a calendar, a recipe book, etc.  The Parents Association asks that all three gifts be identical to one another. 
 
Class Parents were mailed a $25 check, in the fall,  to cover any expenses incurred while creating this handmade gift.  It was not intended to be used to purchase gift certificates, etc.
 
Gifts are not mandatory but encouraged as a thank you.  We also ask that if one Class Parent does not wish to participate, either the other two CP's make the additional, identical gift or that no gifts are given at all.
